What this website does with personal information, and the one cookie it sets.

What this site does today

This proof of concept sets no analytics or advertising cookies and loads no third-party trackers. The only personal data it handles is what you type into the enquiry form, which is used to answer your enquiry.

A full privacy notice — covering data retention, who acts as data controller and how to make a subject access request — must be supplied and reviewed before the site goes live.

This notice explains what this website does with personal information. It covers the website only. It does not cover membership records, competition entries or anything else the association holds elsewhere.

Draft for the board to approve

This wording was prepared by the people who build and host the site, and describes accurately what the site does. It has not been reviewed by a solicitor. The board should read it, fill in the details marked below, and approve it before relying on it.

The short version

This site does not track you. There are no analytics, no advertising, no tracking pixels and no third-party scripts. Fonts are served from this site rather than fetched from Google, so simply reading a page sends your details to nobody at all.

The only personal information the site collects is what you type into the contact form, and it is used to answer you.

Cookies

The site sets one cookie, and only after an administrator signs in to manage the site. It is called nyn_admin_session, it keeps that person signed in for twelve hours, and it is marked HttpOnly and SameSite=Lax so it cannot be read by scripts or sent from another website.

If you are simply reading the site, no cookie is set at all. That is why there is no cookie banner: there is nothing to consent to.

The contact form

When you send a message through the contact form, the site stores your name, your email address, the subject, your message, the area you chose, and the date and time. It is kept so a volunteer can read your message and reply to it.

If the association has connected an automatic notification, a copy of the message is also sent to that service so somebody is alerted. Whether that happened is recorded against each message.

The form also records that you ticked the consent box. It has simple checks to block automated spam, which look at how the form was filled in rather than at who you are.

How long messages are kept

Up to 2,000 messages are held. Beyond that, the oldest messages that have already been dealt with are removed. Backups of the site's content are taken nightly and kept for thirty days.

If you would like your message deleted sooner, ask us and we will remove it.

Where the information is held

The site runs on a virtual server in London, operated by IONOS. Content and messages are stored on that server. Nothing is sent to any other company except an automatic notification service, if the association has set one up.

League tables, fixtures and results shown on this site are administered in ClubLeague, a separate system used by the county. Following a link to ClubLeague takes you to their site, which has its own privacy notice.

Links to other sites

Pages here link to England Netball, Yorkshire Regional Netball, ClubLeague and social media. Once you follow a link you are on somebody else's website, and what they do with your information is governed by their own notice, not this one.

Your rights

You can ask what personal information the association holds about you, ask for it to be corrected, or ask for it to be deleted. You can also complain to the Information Commissioner's Office at ico.org.uk.

To make any of those requests, use the contact form or the address below.

The board still needs to supply these

Who the data controller is and the address for requests; whether the association is registered with the ICO and its registration number; and the name or role of the person handling data protection questions. Until those are filled in, requests should go through the contact form.
